How a proposal form turns customer details into a useful estimate

Make the calculation understandable and keep exceptions visible.

Choose the inputs that affect scope

A proposal form can collect service type, approximate size, requested options, and other details that influence the work. Each question should have a purpose. If a photograph or site visit is needed to judge a condition, say so rather than pretending a short form can establish every fact.

Use pricing the business approves

Rule-based calculations can turn answers into a consistent draft estimate. For example, a fictional office-cleaning demo can multiply area by an illustrative rate, apply a minimum, and add selected extras. The calculation does not require AI. The actual business supplies and approves its own rates and assumptions.

Show what is included

Explain the line items and the assumptions behind the total. Separate optional extras from the base service. Identify what is excluded or still needs review, such as access restrictions or unusual conditions. Label a preliminary estimate clearly so it is not confused with a final approved quote.

Give unusual requests a review path

Missing information, work outside your usual service, or conditions needing inspection should be flagged for staff. A proposal workflow can display a draft, email it, or route it for approval when the selected tools support those actions. Customer acceptance, signatures, and deposits are separate features to scope.

Check the numbers before launch

Test the minimum price, empty inputs, unrealistic quantities, optional extras, rounding, and scenarios near any thresholds. Confirm who can change pricing and how updates are reviewed. A useful first demo shows the customer journey; live proposal delivery and connected software need separate compatibility checks.
