AI or automation: what does your business actually need?
Start with one repetitive task, then choose the right kind of help.

Begin with the work, not the tool
Think about a task your team repeats every week: collecting project details, answering the same service question, or acknowledging a new inquiry. Write down what starts the task, what information is needed, and what a useful result looks like. A focused first project is easier to test and maintain than trying to automate everything at once.
Automation follows rules
A rule-based workflow responds to a defined event. For example, a new inquiry can trigger a notification to the business. This does not need AI. The business chooses the fields, recipients, and message. Consistent rules are useful when the same action should happen each time.
AI helps with language and variation
An AI-assisted tool can help draft a response to differently worded questions using information your business approves. It needs clear boundaries: which services it may discuss, what it should do when information is missing, and which questions need a person. It should not invent prices, availability, or business policies.
A simple starting example
A fictional cleaning business might first collect the location, approximate area, service type, and preferred timing through a form. A standard acknowledgment confirms receipt. If the team later needs help answering varied service questions, an AI reply workflow can be considered separately.
Decide what success means
Choose a measurable goal such as fewer follow-up questions or more complete inquiries. Confirm software compatibility, access, setup scope, usage limits, and ongoing responsibilities before launch. Test typical requests, incomplete requests, and situations that should go to staff. Start small and expand when the workflow proves useful.
